Hosting an experiential event


CONCEPTUAL PLANNING

Introduction should consist of a small paragraph containing:

- Event: what do you want to do

- Host: who will be coordinating the event

- Topic: what do you want your focus to be

- Numbers: target audience & quantity

Need and goal should be clearly established for yourself and others helping with the event. 

- Assess the need: develop a plan to delve into the intricacies of the desired goal

- Filling that need: does the movie and discussion group satisfy the goal

Audience 

  • Primary audience -  idetify, find, and attract this audience to spread vison on social entrepreneurship.

Facilitator 

  • Roles for planning, executing, and assesing the event. A person can perform muliple jobs. A group of dedicated individuals is recommended for holding a successful event.
  1. Resource Explorer - looks for opportunities
  2. Team Worker-cooperative
  3. Coordinator - organizes goals, delegates, and advocates decision-making
  4. Implementer - turns ideas in actions
  5. Shaper - dynamic and able to overcome obstacles easily
  6. Finisher - time and detail oriented 
  7. Solver - able to solve complex scenarios
  8. Maven - specific skills in area of interest
  9. Evaluator - judges, sees and discerns event

Space 

  • Desirable Elements - lighting, outside, inside, seating style, catering
  • Location - open space, closed room, near heavy traffic area, remote
  • Find the right space - number of people, logistics of showing, catering, ect.
  • PLAN FOR UNEXPECTED EVENTS - rain, overfill of people, ect.

  2. During a post-test or non-test week
  3. Complies with format and space chosen
  4. PLENTY OF ADVANCE NOTICE! (MORE THAN 3 MONTHS)

Cost 

  • Fundraising - asking departments and various sectors of campus community
  • Sponsorships - network with local companies, large corporations, and other venues.

Finding the funds:

  1. Ask around campus, specifically groups who show special interest in social entrepreneurship
  2. Network through UI Fellows
  3. Ask for references to those who cannot give you funds
  4. Use NCIIA as a resource

Branding 

  • Brainstorm the message you want to convey: social entrepreneurship
  • A logo
  • Youtube videos for more information

Support

You will need a reliable group of students, faculty,  and staff needed to facilitate prior to and during the event

  • Use the 'Faciliator' Section above for kinds of roles needed
  • Recruite an array of volunteers from backgrounds, ages, and experience
  • Create groups that manage meaningful duties
